How to evaluate construction software demos like a pro

Most software demos are designed to impress you, not necessarily to reflect your day‑to‑day reality. That’s why so many contractors walk out of demos thinking, “It looked great,” only to realize later that critical workflows were never really tested.

A better way to approach demos is to script them around a real project scenario from your business—size, contract type, delivery method, and typical issues you face. Ask the vendor to show how their system handles that scenario end‑to‑end: from bid or budget setup, through RFIs and changes, to job cost tracking and closeout.

Pay attention to how many steps it takes to complete simple tasks, how clear the screens are for field users, and how easy it is to pull the reports you actually need. Involve both office and field voices in the demo and encourage them to speak up about what looks confusing or unrealistic. You’re not just judging features; you’re testing fit.
